    What she wants off her plate:
    "Honestly all of it. The inbox is the worst, I get maybe 60 emails a day and half are suppliers. Then scheduling site visits, which is a nightmare because clients change times constantly. Invoicing goes out late every month because I forget. Oh and we should really be posting on Instagram more, we have 6k followers and I post maybe once a month."

    Tools she mentioned: Gmail (business), Google Calendar, Xero for invoices, a shared Dropbox, Instagram. She said "we tried Asana but nobody used it".

    On access: "I'll just send you my Gmail password, it's easier." Also said Tom has the Xero login and "he's protective of it".

    Approvals: When I asked who approves things she said "just use your judgement". Later in the same call she said she wants to see every email to a client before it goes out.

    Hours: she picked the 10-hour package because "let's start small and see".

    Holidays: studio closes 2 weeks in August. She didn't ask about mine.

    Missing before I can start

    Watch out

    Password sharing. Nadia offered to send her Gmail password. Decline it politely and set up

    delegated access instead: she keeps her password to herself, and your access can be removed at any time without changing it. Worth saying in writing before day one.

    The scope does not fit 10 hours. As a rough estimate, inbox triage alone at ~60 emails a day could take 4 to 5 hours a week, which is about 16 to 20 hours a month before scheduling, invoicing or Instagram. Options: start with inbox and scheduling only, or move to a bigger package. Raise it before the first invoice, not after.

    Instagram was mentioned, never agreed. It is not in the package and not costed. Either quote it separately or take it off the table now.

    Contradiction on approvals. "Just use your judgement" and "I want to see every email to a client before it goes out" cannot both be true. The brief assumes the stricter one; confirm it.

    Urgent by phone. A client who calls for anything urgent will call for everything. Agree a definition and a channel, and set expectations about your working hours across the time-zone gap.

    November hotel project. Nadia expects things to "get mad". Plan the package review for late October, before the workload changes, so the conversation is about capacity rather than a missed month.
