    Normal task

Use Parallax Knowledge Workspace with the supplied fixtures/normal/source folder. These documents belong to the fictional team Cedarline Print Studio. Build a usable knowledge workspace under a new output directory; keep all originals in place. We need a starting index, topic relationships, version/conflict handling, and a record of the address-check pilot decision. Write the actual files.

Our recurring questions are: What dispatch promise may the team currently quote? How long is a quote valid for an ordinary customer versus a Gallery Circle partner? Why are we testing an address check? Did the pilot improve profit? Show that someone can follow the new navigation to source evidence and identify any unanswered questions. Use only the supplied documents.

    # Cedarline Print Studio service policy

Document owner: Operations manager, Rowan Hale
Approved: 2026-06-01 by general manager Tessa Lin
    Effective: 2026-06-15
Applies to: UK standard stock print orders

    ## Dispatch

We dispatch standard stock orders within five business days after payment and print approval. Bespoke finishing and non-UK shipping are quoted individually. This is a dispatch commitment, not a delivery guarantee.

    ## Quotes

An ordinary customer quote remains valid for 14 calendar days from issue. Partner-specific agreements may specify a different term. Staff should link an applicable signed agreement rather than infer partner status from a customer's email domain.

    ## Change control

This document replaces the March working draft. Sales may offer a different dispatch promise only with recorded operations approval for the order. Broad policy changes require the general manager's approval.

    # Service policy — March working draft

    Prepared: 2026-03-18
    Owner: Rowan Hale
    Review meeting: not yet booked

    ## Proposed service

Standard stock orders should be dispatched within two business days after payment and artwork approval. All quotes would remain valid for 30 calendar days. The team still needs to check whether stock availability can support this promise.

    ## File note

The sales folder was renamed FINAL before the management review. This draft has not been signed off.

    # Gallery Circle partner addendum

Parties: Cedarline Print Studio and Gallery Circle purchasing group
Signed: 2026-07-02 by Tessa Lin and Gallery Circle procurement lead A. West
    Effective: 2026-07-05 through 2026-12-31

    ## Quotes and ordering

Quotes issued to the Gallery Circle central purchasing account remain valid for 30 calendar days. Individual member galleries ordering through personal accounts do not receive this term automatically. The standard dispatch policy remains applicable unless an individual order has a separately approved exception.

    ## Scope

This addendum changes quote validity only. It does not change payment terms, dispatch timing, or ordinary customer terms.

    # July operations review

Recorded by Rowan Hale on 2026-08-01
Window: orders dispatched 2026-07-01 to 2026-07-31

We reviewed seven standard stock orders that took more than five business days from payment and print approval to dispatch. Four were held while we corrected missing unit numbers in the shipping address, two waited for replacement paper, and one waited for a customer to confirm a colour change after approval. This review covers late orders only; it does not count all July orders.

The address-check idea came from the packing team. The proposed check is a short confirmation before the job enters the print queue. We have not yet timed the extra work or checked whether it would interrupt repeat customers.

Sales mentioned that some customers expected delivery within five days. We need to distinguish dispatch from arrival in customer-facing wording.

    # Sales desk note

    Author: Morgan Price
    Recorded: 2026-07-15

At Monday's stand-up I understood that we could offer three-business-day dispatch for standard stock orders from 12 July. I cannot find an approval note in the order system. I have used this wording in two draft quotes but have not sent them. Rowan was away that morning.

I also heard an ordinary customer refer to a 30-day quote term. The attached customer email quoted an old PDF; I do not know when they downloaded it. Please check the current wording before these two quotes go out.

    # Address-check pilot decision

    Decision ID: OPS-26-08
    Recorded: 2026-08-03
    Decision owner: Rowan Hale

    ## Choice

Run an address-confirmation pilot on standard stock orders received from 10 August through 20 September. Compare address-related holds with the preceding period and record the time the new check takes. Do not roll out permanently yet.

    ## Alternatives considered

We considered leaving the process unchanged, checking addresses only after a hold appears, and checking every standard stock order before printing. We chose the third option for the pilot because the July late-order review found repeated address issues. We do not know the total late-order rate from that review alone.

    ## What we need to learn

Does the check reduce address holds enough to justify the added work? Team time and customer response quality are the practical constraints. Review after the pilot has finished. No revenue or margin estimate was made at this meeting.

    • Read your context and instructions
    • Compiled the parallax knowledge workspace

Fictional demonstration from an actual local trial. This is not a real customer result. Local links and machine-specific paths are displayed as text.

    Initial knowledge workspace created

Open START-HERE.md. It links to service promises, the address-check rationale, the preserved OPS-26-08 decision, a source register, relationships, conflicts, change history, and retrieval self-checks.

All six initial source documents were read and copied into source. The fixture originals remain in place and unchanged; SHA-256 comparison verified the six copies. No later intake document was read for this initial build.

The usable current answer is five-business-day dispatch after payment and print approval for UK standard stock, rather than an arrival guarantee. The service note leads to the approved June policy; the March FINAL draft was not approved, and the later three-day sales recollection lacks the required authority.

    Ordinary quote validity is

14 calendar days. The signed Gallery Circle addendum supplies

30 days for the central purchasing account within its effective period, not for every member's personal account; it does not alter dispatch. The address-check trial was chosen because four of seven reviewed late July orders had address issues, but the sample excludes all on-time orders. The initial collection cannot establish improved profit or permanent rollout.

Local links and heading targets were resolved, and the dispatch, addendum, draft conflict, sales-note, and missing-profit passages were actually reopened. Details are in retrieval-checks.md and navigation-checks.json. These are my navigation self-checks, not an independent person proving findability.

The next maintenance step is the pilot closeout or an authoritative policy update. Add new evidence without rewriting the original August decision. No cross-session memory, shared-drive installation, or automation was configured.

    # Change history

    ## 2026-10-17 — Initial build

    - Read all six files in the specified normal/source fixture; no files unread or excluded within that initial boundary.
    - Copied the original files into the run's `source` folder, with original fixture paths and SHA-256 fingerprints in `sources.csv`. No original was moved, rewritten, or removed.
    - Added the starting index, service and address-check topics, explicit relationships, conflict log, and OPS-26-08 decision record.
    - Distinguished approved policy, signed account exception, unapproved draft, individual recollection, review observation, and recorded pilot decision.
    - Kept the later intake fixture unread. This state is the initial-build snapshot for any future intake request.
    - Recorded actual link/retrieval checks in `retrieval-checks.md`; these are the workspace builder's own checks, not an independent reader test.

Restore: the fixtures are untouched and the run's `source` copies preserve the evidence. For a major navigation revision, copy this workspace to a separate snapshot before editing; do not overwrite the original sources.

    # Conflicts and authority

    ## C01 — March FINAL versus approved June policy

S02 proposes two-day dispatch and 30-day validity for all quotes. S01 specifies five-day dispatch and ordinary validity of 14 days. **Resolved for current documented policy:** S02 expressly lacks sign-off and S01 expressly replaces it; the word FINAL in a filename has no authority. Preserve S02 for historical questions. Sources: S01, S02.

    ## C02 Three-day sales wording

S05 reports Morgan's understanding of a stand-up, a claimed effective date of 12 July, and no found approval. S01 requires recorded operations approval for an order exception and general-manager approval for broad changes. **Open:** do not call S05 an approved policy or silently delete it. Current-answer routing stays with S01 while Rowan or Tessa locates the relevant approval or corrects the recollection. Two unsent draft quotes need wording review. Sources: S05, S01 Change control.

    ## C03 — Fourteen versus thirty days

**Scope distinction, not a universal contradiction:** S01 gives ordinary customers 14 days; signed S03 grants the Gallery Circle central purchasing account 30 days in its effective period. Individual member personal accounts do not automatically qualify. S05's old customer PDF is not supplied and cannot be dated or treated as current authority. Sources: S01 Quotes, S03, S05.

    ## Missing outcome rather than conflicting outcome

S06 authorises a pilot but contains no result or permanent decision. S04 is the prior rationale, not post-pilot evidence. Profit improvement is **unanswered**, not “zero profit improvement.” Obtain the closeout and relevant financial evidence. Sources: S04, S06.

    # OPS-26-08 — Address-check pilot

    - **Original recorded date:** 3 August 2026.
    - **Owner:** Rowan Hale.
    - **Question:** Is checking all standard stock order addresses before printing worthwhile relative to the added work?
    - **Status in initial collection:** pilot authorised; results and permanent-rollout decision not supplied.
    - **Choice:** run the check on eligible orders received 10 August–20 September; compare address-related holds with the preceding period and record checking time. Do not roll out permanently yet.
    - **Alternatives considered:** unchanged process; checking only after a hold appears; checking every standard stock order before print.
    - **Then-available evidence:** S04 reports four address-related cases among seven reviewed late July orders. This lacks the all-order denominator and is not a profit estimate.
    - **Constraints and assumptions:** team time and customer response quality; checking time and customer interruption are unknown. Repeated address issues make a pilot worth testing but do not prove its net benefit.
    - **Review signal:** address-related holds compared with the preceding period and time spent checking. A favourable result must be assessed alongside added work.
    - **Review timing:** after the pilot finishes; no exact review date was supplied. No automation has been scheduled.
    - **Original decision source:** S06, all sections.

    ## Subsequent observations

17 October 2026 workspace build: the initial six-source collection includes no pilot outcome. This is a statement of evidence coverage, not an assertion that the team never reviewed it. Preserve the record above when a closeout arrives; append that later evidence here and link a new current-state decision if one is actually documented.

    # Relationships

    | Relationship | Evidence and reason | Affected note |
    |---|---|---|
    | S01 supersedes S02 | S01 Change control expressly replaces the March draft; S02 File note admits no sign-off | Service promises |
    | S03 narrows one S01 rule for a defined account | Signed addendum gives central purchasing 30-day validity; dispatch stays standard | Quote validity |
    | S05 challenges current sales wording, not approved authority | Sales note reports a three-day recollection with no approval; S01 requires recorded approval | Conflicts C02 |
    | S04 supports testing S06, not the result | July late-order review documents repeated address cases; pilot decision selects a bounded trial | Address check, OPS-26-08 |
    | S04 explains a communication risk under S01 | Customers reportedly expected arrival within five days; S01 promises dispatch | Dispatch |

No outcome source supports a connection from the pilot to increased profit in this initial collection.

    workspace/retrieval-checks.md

    # Retrieval self-checks

Executed on 17 October 2026 by the workspace builder. These are actual source reopen and link checks, not an independent reader test. `../navigation-checks.json` contains the machine-readable observations. All six copied sources were hash-matched against the untouched fixture originals.

    | Question | Navigation route | Original evidence reopened | Answer or abstention | Observed result and gap |
    |---|---|---|---|---|
    | What dispatch promise may staff quote? | START-HERE → topics/service-promises → S01 Dispatch | 01-service-policy.md | Five business days after payment and print approval for UK standard stock; dispatch, not delivery | Linked file and passage reopened; no external current-state verification |
    | Does Gallery Circle change dispatch and quote validity? | START-HERE → service-promises quote table → S03 and S01 | 03-gallery-circle-agreement.md; 01-service-policy.md | 30 days only for central purchasing in effective scope; standard dispatch remains | Cross-topic scope resolved from signed addendum; personal-account exception not invented |
    | Does FINAL March or sales' three days override June? | START-HERE → conflicts → S02, S05, S01 | March draft, sales note, approved policy | March is unsigned and superseded; three-day recollection lacks required approval | Original passages reopened; sales interpretation remains unresolved rather than promoted to policy |
    | Why run the pilot, and did it improve profit? | START-HERE → address-check → OPS-26-08 → S04/S06 | July review already read in full; decision reopened | Four of seven late-order cases involved address corrections; no profit evidence | Abstained on outcome. No closeout, full denominator, or financial result in the six-source initial boundary |

Markdown local paths and heading fragments in the workspace were checked by resolving paths and comparing anchors with target headings. The narrative conclusions above are the builder's reading of those sources; link existence alone does not prove them. The later intake fixture has not been read.

Use this index for service promises, quote validity, and the address-check pilot. Built on 17 October 2026 from all six documents supplied in the initial collection. The intake follow-up has not been read or included. The original fixtures remain unchanged; source copies preserve the evidence used here.

    ## Find an answer

    - What dispatch promise may we quote?: five business days after payment and print approval for UK standard stock orders; this is dispatch, not arrival. The three-day sales note lacks recorded authority.
    - How long is a quote valid?: ordinary customers 14 calendar days; qualifying Gallery Circle central purchasing quotes 30 days during the signed addendum's effective period. Personal member accounts do not qualify automatically.
    - Why test address confirmation, and what do we know?: four of seven reviewed late July orders had address issues, but the full July denominator is absent. No profit result is supplied.
    - Address-check decision OPS-26-08: pilot chosen by Rowan Hale on 3 August; no permanent rollout approved in the collection.

    ## Evidence and maintenance

The source register records IDs S01–S06, provenance, dates, status, read coverage, and hashes. Relationships explain how the records connect. Conflicts distinguishes the superseded March draft from the unresolved sales interpretation. Retrieval self-checks record routes reopened and link checks; change history records this initial build.

Authority is based on explicit approval and scope, not a filename, modification time, or confident tone. S01 is approved policy; S03 is a signed, scoped addendum; S02 explicitly lacks sign-off; S05 is an individual's recollection without the required approval.

Next maintenance action: obtain the pilot closeout and any recorded order exception or general-manager-approved policy update. Add new evidence with new IDs, retaining OPS-26-08's original rationale. This workspace is local navigation, not an installed cross-session memory or an automation.

    workspace/topics/address-check.md

    # Address confirmation: rationale, decision, and unknown outcome

The July review covered **seven late standard stock orders**, not all orders: four address corrections, two replacement-paper waits, one post-approval colour-change confirmation. The total reconciles as 4 + 2 + 1 = 7 (S04, July operations review, recorded 1 August 2026, dispatch window 1–31 July).

Four out of seven reviewed late orders is a distribution within the selected late-order sample. It is not the July address-hold rate or total late-order rate; the full order denominator is missing. The team's observation was repeated missing unit numbers. The proposed check occurs before entry into the print queue. Its time cost and effect on repeat customers were unmeasured.

Rowan Hale chose a pilot of address confirmation for standard stock orders received **10 August–20 September 2026**, comparing address-related holds with the preceding period and recording checking time. Alternatives were no change, checking only after a hold, or checking every eligible order before print; the third was selected for the pilot (S06, Choice and Alternatives). See the preserved decision record.

The initial collection has no closeout, all-order denominator, measured checking time, revenue, or margin result. **It cannot establish improved profit, reduced holds, or an approved permanent rollout**, even though the planned end date is now past. A calendar date is not evidence of completion.

Needed next evidence: eligible order counts and hold definitions for both comparable periods, address-hold counts, checking-time records, customer response impact, operational costs, and any decision after review. Profit requires revenue/cost evidence beyond a change in delay counts. Adding a closeout should append a dated observation and update the current state without rewriting the original August rationale.

    workspace/topics/service-promises.md

    # Service promises: current documented terms

    ## Dispatch

The latest explicitly approved policy in this collection permits **dispatch within five business days after payment and print approval**, applying to **UK standard stock print orders**. This is not a five-day arrival guarantee. Bespoke finishing and non-UK shipping are quoted individually. Source: S01, Dispatch, approved by general manager Tessa Lin on 1 June 2026, effective 15 June.

Suggested customer wording: “We dispatch UK standard stock orders within five business days after payment and print approval. This is the dispatch timing; arrival depends on the shipping arrangement.” The second sentence clarifies scope, without inventing a carrier or delivery estimate.

Sales can quote a different dispatch promise only with recorded operations approval for that order; broad policy changes require general-manager approval (S01, Change control). An approved order exception would not establish a new general policy.

The March “FINAL” file proposes two days but says it was not signed off, and S01 expressly replaces it (S02, Proposed service and File note). Morgan's 15 July recollection of three days from 12 July has no located approval. Its two draft quotes had not been sent (S05). Keep them from using that unsupported promise until Rowan locates an order approval or Tessa confirms a policy change. Conflict C02 remains open; it does not displace S01.

    ## Quote validity

    | Customer/order scope | Term | Original evidence |
    |---|---|---|
    | Ordinary customer | 14 calendar days from issue | S01, Quotes |
    | Gallery Circle central purchasing account, within addendum effective scope 5 July–31 December 2026 | 30 calendar days | S03, Quotes and ordering |
    | Individual member gallery using a personal account | No automatic partner exception; standard term applies absent another applicable signed agreement | S03, Quotes and ordering and S01 |

Link the applicable signed agreement rather than infer status from an email domain. S03 changes quote validity only: no new payment, dispatch, or ordinary-customer terms. A customer quoting an old PDF does not change the approved policy. The exact old downloaded PDF is not included, so its content/date cannot be independently established from S05's report.

For historical questions, use the effective dates and original records. This note states the latest documented rules in the initial collection, not external verification of what the business actually says today.
