Notion Workspace Architect
Example session with this skill installed
I'm a freelance graphic designer. I need a Notion workspace to track my client projects, manage my design tasks, and keep track of my monthly income. I'm a beginner at Notion.
- Read your context and instructions
- Compiled the notion workspace architect
- Generated the UI component
I have designed a beginner-friendly Notion workspace blueprint for your freelance design business. This structure focuses on three core databases that connect your clients to your active work and financial tracking.
Freelance Designer Workspace Blueprint
- Designed for: Freelance Graphic Designer (Solo)
- Complexity: Beginner-friendly
- Core databases: 3 databases (Clients, Projects/Tasks, Finances)
- Estimated build time: 1.5–2 hours
Page Hierarchy
🏠 Designer Dashboard (Mission Control)
├── 👥 Client CRM (Database: Clients)
├── 🎨 Design Studio (Database: Projects & Tasks)
├── 💰 Finance Hub (Database: Income Tracker)
└── 📚 Assets & Resources (Static Page)
Database: Projects & Tasks
Purpose: The central engine for all active design work and deadlines.
| Property | Type | Options / Notes |
|---|---|---|
| Project Name | Title | e.g., Logo Design - Acme Corp |
| Status | Select | Discovery, Designing, Feedback, Complete |
| Client | Relation | Linked to Clients Database |
| Deadline | Date | Final delivery date |
| Priority | Select | Low, Medium, High |
Views:
- Active Board — Board view, grouped by Status, filtered to show incomplete projects.
- Deadline Calendar — Calendar view, showing projects by Deadline date.
Database: Clients
Purpose: A directory of contacts and their historical project data.
| Property | Type | Options / Notes |
|---|---|---|
| Client Name | Title | Company or Individual Name |
| Primary contact | ||
| Projects | Relation | Linked from Projects & Tasks |
| Total Revenue | Rollup | Sum of Income from Finance Hub |
Relationship Map
Clients ↔ Projects: One client can have multiple projects. Linking these allows you to see all work history when opening a client page.
- Projects ↔ Finances: Link completed projects to the Income Tracker to see which services are most profitable.
Next steps
- Create the three core databases as full pages in your sidebar.
- Add the properties listed in the tables above to each database.
- Create a Relation property in the "Projects" database and point it toward the "Clients" database.

What you get
About this skill
Stop building your Notion workspace from scratch or stitching together random templates that don't connect. This skill designs a complete workspace blueprint tailored to your specific business — with databases, views, page hierarchy, templates, and database relations all mapped out. Whether you're a solo founder or a small team, get a professional Notion architecture you can build yourself or hand to a Notion expert.
What it does
- Architectural mapping provides a hierarchical tree structure of pages and sub-pages to ensure a clean navigation experience.
- Database design specifies exact properties, column types, and select options for every necessary database.
- Relational modeling defines how databases like Clients, Projects, and Tasks should link to enable automated data flow.
- Custom views outlines specific filtered boards, calendars, and galleries to surface the right data at the right time.
- Template wireframing details the internal structure of page templates, including callout blocks and embedded views.
How it works
- Provide context by sharing your business type, team size, current pain points, and existing workflows.
- Receive the blueprint containing a visual hierarchy, database schemas, and a relationship map.
- Follow the build guide to construct the databases, set up relations, and configure the dashboard mission control.
Frameworks & tools
This skill is designed specifically for the Notion platform, utilizing its core features including databases, relations, rollups, linked views, and page templates.
Why this beats prompting it yourself
Generic prompts often result in a list of pages without a functional underlying data structure. This skill enforces strict architectural principles, such as limiting nesting depth and ensuring data is entered once but viewed in multiple contexts through relational mapping.
Use cases
- Designing a multi-client project management system for a creative agency.
- Building a content production hub for creators managing multiple platforms.
- Creating a unified business operating system for solo consultants.
- Structuring a team knowledge base with integrated SOPs and task tracking.
Known limitations
This skill produces a text-based architectural plan and build guide. It cannot generate a clickable Notion template link or automatically build the workspace inside your Notion account.
