Set up a triage system for a new client's inbox so I can show her before I touch anything.
Client: Studio Kestrel, wedding photographer (Elin Kestrel, works alone, about 25 weddings a year).
What arrives: she says roughly 40 emails a day in season. New enquiries from couples, a lot of back-and-forth with booked couples about timings and shot lists, venue and supplier emails, invoices and receipts, gallery delivery questions, plus the usual newsletters and spam.
What she wants to stop doing: "the first reply to every enquiry, and chasing couples for their details".
Her problem: enquiries sit for 3-4 days and she says she loses bookings to photographers who reply the same day.
Tone: warm, personal, lowercase-ish, she signs off "Elin x". Says she hates anything that sounds like a template.
Facts I don't have yet: her 2027 prices, what's in each package, her availability calendar, her booking link, her deposit terms.

How this works
Until you approve a category for direct sending, I draft and you release. Nothing goes out from your inbox without your say-so. After two weeks we look at what you approved without changing, and move those categories to "send directly".

The "Waiting on couple" label is where the chasing comes from: anything sitting there for [7] days gets a follow-up (proposed: pick the number with Elin).

Written in your voice: lowercase, warm, "elin x". If anything reads like a template to you, change it and I will use your version.
Always escalated, never answered by me
- Anything about money: prices, deposits, refunds, invoices, the accountant
- Complaints, or any mention of a delay to a gallery
- Anything a couple shares that is personal: family situations, who not to photograph
- Anything committing you to a date, a price or a deliverable that is not already in the booking sheet
- Press, partnerships and anything from a lawyer (proposed: not mentioned by Elin, confirm)
What I need from you
The facts the drafts need: 2027 prices and what each package includes, your booking link, deposit terms, and your gallery delivery timeline. Without these, every draft has a blank in it.
- Calendar access so availability in a reply is real, not guessed
- Access: Gmail delegated access (you keep your password), plus the booking spreadsheet shared with me
Confirmation of the two-hour enquiry target: it is the fix for losing bookings to faster photographers, but it only works within hours you and I agree
Two-week review
After two weeks we look at what I drafted and you sent unchanged, and agree which categories I can send directly. My guess: categories 2, 4 and 6 first, with new enquiries staying draft-only until you are happy with the voice.
Note on the personal category
Couples telling you about a family situation is not admin. That category exists so those emails reach you, not a filter. Nothing in it gets an automated or drafted reply.
