Can you sort my business bank statement into expense categories? It's a business account. Here are the lines: 01/04 AWS EMEA 42.30 02/04 RYANAIR DUB-STN 68.00 03/04 TESCO STORES 54.10 05/04 APPLE STORE MacBook 1299.00 06/04 STRIPE FEE 12.44 09/04 CIRCLE K FUEL 60.00 10/04 TRANSFER TO SAVINGS 500.00 14/04 ZOOM.US 15.99 Give me a tidy table and an Excel file with a monthly summary. Currency is euro.
Sample output
A categorised table in chat plus a ready Excel workbook (.xlsx), for example: - AWS EMEA → Software & Subscriptions (Business) - Ryanair → Travel — Transport (Business) - Tesco → Personal / Drawings (flagged personal, excluded from totals) - Apple MacBook → Computer Hardware (Business, flagged Capital) - Stripe fee → Bank Charges & Merchant Fees (Business) - Circle K → Motor & Fuel (Business) - Transfer to savings → Transfer / Internal (excluded) - Zoom → Software & Subscriptions (Business) Summary: total business expenses, personal/excluded total, and a "needs review" count. The workbook has three tabs — Transactions (with dropdowns so you can fix any category), Summary by Category (totals and % per category), and Monthly Summary — all formula-driven and verified with zero formula errors.

About This Skill
What it does
This skill turns messy bank or card transactions into clean, categorised business expenses with a usable summary. Paste raw statement lines, a CSV export, or a typed list, and it codes every transaction into a sensible business expense category, flags personal spending, capital purchases and anything that needs review, and returns both a clear table and a live, formula-driven Excel workbook. Built for freelancers, sole traders and small companies anywhere in the world.
Why use this skill
Sorting a bank statement by hand is slow and error-prone, and a generic AI prompt will happily invent confident but wrong categories. This skill works to a structured, country-neutral chart of accounts with merchant and keyword hints, and—crucially—flags uncertain lines for review instead of guessing. It keeps transfers, tax payments and incoming money out of your expense totals so the numbers actually mean something, then builds a tidy workbook that recalculates itself when you correct a row.
Supported features
- Smart Categorisation: Assigns each transaction to a clear business expense category using merchant and context cues, not just single-keyword matching.
- Honest Flagging: Separates business vs. personal, marks capital purchases, and flags duplicates, missing receipts and anything it can't confidently place.
- Clean Totals: Keeps transfers, tax payments and income out of expense totals so your figures are trustworthy.
- Live Excel Workbook: Three linked tabs—Transactions (with correction dropdowns), Summary by Category, and Monthly Summary—all formula-driven.
- Works Anywhere: Country-neutral and macro-free; opens in Excel, Google Sheets, Apple Numbers and LibreOffice.
This is a categorising tool, not tax advice or bookkeeping. For Ireland-specific VAT, RCT and Revenue coding, see the Irish Expense Categoriser.
Use Cases
- Automate monthly bookkeeping for freelancers and sole traders
- Clean up messy CSV bank exports for annual tax preparation
- Generate formula-driven Excel expense reports with monthly summaries
- Identify and flag capital assets versus recurring operating expenses
- Split business expenses from personal spending in mixed accounts
Known Limitations
- Country-neutral by design: it produces clean categories and summaries but does not apply VAT/GST recovery, RCT or capital-allowance coding. For Ireland-specific Revenue treatment, use the paid Irish Expense Categoriser. - Categorisation is judgement-based on the transaction description. Cryptic bank descriptions can be ambiguous — those lines are flagged "Uncategorised — Review" rather than guessed, so you should check flagged rows. - It is not double-entry bookkeeping software and does not reconcile to your bank balance or produce financial statements. - It works from the data you paste or upload — it does not connect to your bank or read receipt/invoice PDFs. - Accuracy improves a lot if you say whether the statement is a business or personal account. - One currency symbol per workbook (for display); amounts are not converted between currencies.
