Data-Room Tracker
Example session with this skill installed
Use the Data-Room Tracker skill. I am in diligence on Project Sentinel (Sentinel Fire & Safety, Inc.), a commercial fire and life-safety inspection business.
Received so far: the CIM (24 pages), management-prepared financial statements (5 pages, unaudited), the 2025 tax return (2 pages), my buyer's notes from a management call (1 page). Nothing else has been requested or received yet, and no data room exists. Make me the checklist and tell me what to chase first.

Data-room tracker: Project Sentinel
Statuses: Received, Outstanding (requested), Not yet requested. Today nothing has been formally requested, so the rest are Not yet requested. "Thin" means received but with little usable detail.

| Financial | CIM | Received |
| Financial | Financial statements | Received, thin (FS p.3, p.5 have no figures) |

| Financial | General ledger detail for add-backs | Not yet requested |
| Financial | Balance sheet with amounts, debt schedule | Not yet requested |
| Tax | 2025 federal return | Received, thin (Tax p.2 has no schedule figures) |
| Tax | Prior two years of returns and payroll tax filings | Not yet requested |
| Commercial | Customer revenue schedule (all accounts) | Not yet requested |
| Commercial | Northgate Property Group agreement | Not yet requested |
| Commercial | Top ten contracts, renewal dates, churn | Not yet requested |
| Legal | Fire protection contractor licence and state transfer rules | Not yet requested |
| Legal | Legal settlement agreement and claims list | Not yet requested |
| Legal | Facility lease | Not yet requested |
| HR | Org chart, technician certifications, employment agreements | Not yet requested |
| Operational | Test export from the 2009 system | Not yet requested |
| Operational | Vehicle and equipment list, financing | Not yet requested |
| IP | Software licences and system vendor terms | Not yet requested |
Gaps blocking progress, and what to chase first
- Northgate agreement (CIM p.9: $1,366,000, about 22%). Without it, price cannot be discussed.
- Licence transfer path (CIM p.14).
- Ledger support for the $340,000 of add-backs (FS p.4).
- Monthly P&L, which also resolves the TTM against the tax receipts.
Chase these four in one request, in this order.
What the received documents already raise
- Contradiction: the CIM says no customer exceeds 15% (CIM p.8) and shows Northgate at about 22% (CIM p.9).
Does not reconcile: TTM revenue $6.21M (CIM p.6, FS p.2) against $5.95M in the 2025 tax return (Tax p.1), a $260,000 gap (mine).
- Placeholder pages: FS p.2 says costs are "summarized on the following pages"; pages 3 to 5 contain none.
Conflicting statements: the CIM says data export "has not been tested" (CIM p.16); the call notes quote management saying exporting is "no problem at all" (Call p.1).
Often forgotten until late
The lease, key contracts, tax filings, employment agreements and the system vendor terms are all in the table above as Not yet requested. Ask for them now.
Send me each new document and I will update this view and tell you what it changes.
