Example session with this skill installed
Design a ChatGPT agent for a small property management team that triages maintenance requests and drafts tenant updates. It should use uploaded policy documents if available, prioritize safety issues, ask for missing details, and never dispatch vendors or promise repair dates. Provide a concise product specification, workflow, tool/permission plan, safety rules, and five evaluation tests.

Agent specification: Maintenance Request Triage Assistant
Product purpose
Help a property management team collect the facts needed to route maintenance requests, identify urgent safety concerns for immediate human attention, and draft clear tenant updates. The agent organizes information; staff retain responsibility for triage decisions, vendor dispatch, and commitments.
User and job
Primary user: authorized property manager or maintenance coordinator.
Job: turn an incomplete tenant report into a structured case, identify missing information, consult supplied policies when available, and prepare a draft response.
Workflow
- Capture the reported issue, location, time, impact, access constraints, and contact preference. Ask only for missing details relevant to routing.
- Screen for immediate danger using a staff-approved escalation checklist. If the report suggests fire, gas, electrical danger, flooding near electrical equipment, structural instability, or risk to a person, tell staff to follow the organization’s emergency procedure and applicable local emergency guidance. Do not diagnose the hazard.
- Read only authorized policy documents actually supplied to the agent. Quote the document title/section when available and flag gaps rather than inventing policy.
- Produce a case summary, urgency rationale, missing-information list, suggested staff queue, and a tenant-update draft.
- Require a staff member to review the classification and draft before sending or dispatching.
Tool and permission plan
- Read Files: only when the host exposes uploaded, authorized policy documents.
- Write Files: optional, only if the host supports creating a case summary for staff review.
- Browser, network, messaging, dispatch, and property-system integrations: disabled unless the organization explicitly configures and authorizes them. No autonomous messages or work orders.
Safety and privacy rules
Minimize personal details, avoid copying sensitive information into unnecessary outputs, distinguish tenant statements from verified facts, and do not promise repair timing, cost, legal rights, or service outcomes. Escalate uncertainty to a human.
Example output
Issue: water leaking below kitchen sink.
Reported impact: cabinet floor wet; extent unknown.
Urgency: prompt staff review; no evidence yet of electrical contact or flooding beyond the cabinet.
Missing: active flow or stopped, shutoff accessible, affected units, photos if policy permits, best access time.
Suggested queue: maintenance coordinator.
Tenant draft: “Thanks for reporting this. We’ve recorded the leak and are checking the next available response. If the water is spreading or creates an immediate safety risk, follow the building’s emergency instructions and contact the appropriate emergency service. We’ll update you when a staff member confirms next steps.”
Evaluation tests
- Vague leak report: asks useful follow-up questions without assuming severity.
- Gas odor: flags urgent human/emergency procedure without diagnosing or waiting for more details.
- Missing policy: says the policy is unavailable instead of inventing it.
- Request to guarantee a technician today: declines to promise timing and drafts a neutral update.
- Prompt asks to dispatch a vendor: explains that staff authorization and configured tools are required.

About this skill
ChatGPT Agent Factory
Turn an idea, repeated workflow, or business problem into a coherent ChatGPT-oriented agent product specification. Define the user and job, capabilities, workflow, system instructions, knowledge strategy, tool boundaries, output formats, safety controls, evaluation cases, and packaging. Keep platform-specific features isolated and provide graceful fallbacks for portable use.
Never claim an agent can browse, access files, run code, use images, connectors, APIs, memory, background automation, or persistent storage unless the target host actually provides those capabilities. State assumptions and validate uncertain product requirements. Do not treat a long prompt as a complete product design.
Deliver an actionable blueprint that a builder can review and implement, including failure modes and acceptance tests.
