Fictional buyer request
Use $backlog-readiness-workbench to prepare our 45-minute OrchardRelay grooming session from context.md and tickets.csv. All inputs are fictional. Use only these files; no connected service or external action is authorized.
Return the actual review, not a plan to do it:
- A readiness assessment for all 12 supplied IDs, preserving reported type/status/priority and citing the exact source of each judgment. Distinguish a missing fact from a source-confirmed constraint and from a useful item we can discuss now.
- A duplicate-candidate and dependency map. Explain what is recorded, what you infer, what could be distinct and which missing source or decision would settle it. Do not delete or merge anything.
- Complete proposed replacement tickets for OR-104, OR-107, OR-109 and OR-112: titles, bodies, acceptance criteria and a short field-change ledger. Preserve reported facts, identify proposed scope/tests and leave unresolved evidence or policy visible. Do not claim that a draft has become agreed implementation scope.
- A grooming agenda totaling no more than 45 minutes, with decisions, source-linked rationale, participant/owner roles and desired outputs. Explain the discussion order without invented effort, reach or numeric priority scores.
- A short handoff of open evidence/decisions and what can advance independently. Report local proposals only; nothing is updated in a tracker, sent, scheduled or externally verified.
The packet is sufficient for a bounded review. Do not demand a live account or fill missing details from imagination. No model answer or evaluator key is supplied.
Complete fictional context (fixtures/context.md)
OrchardRelay product-intent packet
All organizations, ticket IDs, observations, roles, dates and numbers in this packet are fictional simulation material. No real company system or private customer data is present.
Snapshot: October 13, 2026. The accompanying CSV contains all 12 items selected for this review, not the company's entire backlog. Recorded labels and links can be stale; no live tracker or production environment is available.
C1 - Intended outcome
OrchardRelay is a request-approval workspace. The next pilot should help an authorized requester identify the responsible approver and understand the authoritative request status without asking support. No support-contact baseline or intervention effect has been measured in this exercise. Discussion should concentrate on this outcome rather than a general notification or reporting roadmap.
C2 - Supplied product baseline and policy
The supplied baseline has a request record, assigned approver, states Draft/Pending/Approved/Rejected, a request details page, approve/reject actions, field validation and an audit trail. The current CSV export includes request ID, state and approver ID. Whether it supports date filters or a readable approver name is not established.
Only the currently assigned approver may approve a Pending request. A requester may view their own request and its assigned approver. A successful transition must leave the audit history intact and identify the acting user and resulting state. These are the supplied product rules; the packet does not prove current enforcement in every reported scenario.
C3 - Pilot boundaries
The pilot should preserve access control and final decisions. Automatically approving requests, changing an approved/rejected request back to Pending, deleting audit records, mobile push, SMS and a new messaging integration are outside this pilot. Human email reminders might be a later product choice; no channel policy or delivery schedule is supplied.
C4 - Unsettled decisions
No freshness/refresh interval, latency success target or API cache contract has been agreed. Existing analytics-event coverage and experiment assignment/reporting have not been verified. Reopening or refocusing a page versus continuous refresh are viable discussion options, not approved scope. Do not assume an API, instrumented event or feature is absent because it is not described here.
C5 - Capacity and timing
Two engineers have ten working days of capacity planned for the pilot after scope agreement; ticket estimates are missing. A 45-minute grooming session is planned for October 20. The team aims to agree a candidate scope by October 22 and target a pilot on October 29; these planning dates are not implementation guarantees. Product manager, engineering lead, designer and support lead are the intended review roles. Named owners/attendance are not supplied.
C6 - Source quality
The CSV is a raw worklist. Ticket descriptions are reporter statements unless the text supplies stronger evidence. Mentioned screenshots/traces are not attached. depends_on and possible_duplicate_of are export fields; they do not independently establish technical prerequisites or true duplication. OR-999 is not in this export, and its contents are unknown. A Blocked/Ready label is not the reviewer verdict.
C7 - Requested boundary
Use only this packet and the raw CSV. Prepare local review and repair proposals; no ticket creation/update/link/merge/delete, messages, research, calendars or account actions are authorized.

OrchardRelay: grooming review and proposed ticket repairs
Prepare the session around two decisions: protect approval authority, then agree how a requester learns the current status and assigned approver. OR-104 deserves the first substantive discussion because its reported behavior conflicts with the supplied approval rule, although the failure has not been reproduced. Review OR-108 and OR-109 together to resolve their recorded dependency cycle. OR-103 provides a coherent approver-visibility slice; OR-112 needs missing mobile evidence and clarification of OR-999 before implementation scope can be agreed.
All material below is fictional. This is a local review of the October 13, 2026 snapshot, not a live tracker or production check. Coverage is
12 rows and 12 unique IDs, OR-101 through OR-112. These are all items selected for this review, not the whole company backlog (context C6). Reported type, workflow status, priority, and ownership have not been changed.
The planned session is October 20, with candidate scope sought by October 22 and a target pilot on October 29. Two engineers have ten planned working days after scope agreement, but there are no estimates. These are planning inputs, not delivery commitments (C5).
Review standard and source notation
The next decision is
grooming, not implementation approval. Because no team-specific readiness threshold was supplied, I propose: enough context to discuss a bounded user problem, intended behavior, and a useful unresolved decision. An item can meet that threshold while still lacking a trace, estimate, named owner, or final contract. Implementation readiness additionally needs an agreed testable contract and material dependencies resolved.
C1–C7 cite the named sections of fixtures/context.md. OR-nnn.description, .acceptance_criteria, .depends_on, and other field citations refer to the exact CSV row and field in fixtures/tickets.csv; the source-reference label and update date identify the supplied record. Context baseline and policy statements are authoritative
within this packet. Ticket descriptions are
reported observations or requests, not reproduced facts. Proposed repairs, tests, roles and order below remain proposals.
1. All-ticket readiness assessment
| ID | Reported type / status / priority | Reported owner | Relation to intended outcome and review disposition | Evidence and exact gap or decision | Proposed accountable review role |
|---|---|---|---|---|---|
| OR-101 | Bug / To review / High | Engineering lead | Evidence needed. Directly concerns whether a requester sees authoritative status; suitable for a joint status discussion, not a diagnosed fix. | .description, Support note A, Oct 12: Pending reportedly remained after approval in another session; screenshot is absent, duration/browser unknown. .acceptance_criteria says current status but gives no freshness rule. C1 makes the problem relevant; C4 leaves interval/latency/cache semantics undecided. Request IDs, timestamps, environment, source state, and the mentioned screenshot are needed to distinguish delayed display from another state problem. | Engineering lead with support lead to reconstruct evidence; product manager/designer for acceptable behavior. |
| OR-102 | Bug / To review / Medium | Not supplied | Evidence needed. Return-to-tab status is relevant, but may be a distinct trigger from OR-101. | .description, Design note B, Oct 11: Pending appeared on return after approval; effect of reopening is unknown. .acceptance_criteria is empty; .depends_on=OR-108 and .possible_duplicate_of=OR-101 are recorded claims. C4 allows refocus/reopen versus continuous refresh as options. Capture exact return/refocus/reopen steps and compare with OR-101 before any merge. | Designer for original observation; engineering lead for joint investigation. Named ticket owner needs a decision. |
| OR-103 | Story / Ready / Medium | Product manager | Groom now. A useful approver-visibility slice directly supports C1; the exported Ready label is not implementation approval. | .description and .acceptance_criteria, Product note C, Oct 12: requester needs the assigned approver on Pending request details. C2 permits a requester to view their own request and assigned approver. Agree visible representation, placement, and behavior when assignment changes; inspect actual current presentation rather than assume the field is absent. Relate mobile coverage to OR-112 without treating it as a duplicate. | Product manager and designer, with engineering lead for contract feasibility. |
| OR-104 | Bug / To review / High | Engineering lead | Groom now — risk and evidence decision first. The report conflicts with a source-confirmed authorization rule, but incident frequency and root cause are unknown. | .description, Support note D, Oct 13: original approver reportedly approved from an already-open page after reassignment; no trace or precise steps. .acceptance_criteria and C2 require the current assigned approver and Pending state; C2 also requires intact audit history with actor/result for successful transitions. Obtain request/assignment/action evidence and review a controlled reproduction/test plan. Do not label the failure reproduced. | Engineering lead; support lead supplies original evidence; product manager confirms proposed user-visible handling. |
| OR-105 | Story / Ready / Medium | Support lead | Source-confirmed constraint on the SMS portion; remaining email request outside this pilot decision. The mixed request is not ready for the stated implementation as written. | .description and .acceptance_criteria, Operations note E, Oct 6: daily email/SMS reminders, each morning; consent/channel policy absent. C3 explicitly excludes SMS and treats human email reminders as a possible later choice without policy or schedule. C1 focuses on understanding status/approver. Propose separating the later email decision from prohibited pilot SMS; do not create new tickets or assume daily delivery is agreed. | Product manager and support lead for scope/channel decision. |
| OR-106 | Bug / To review / Medium | Not supplied | Evidence needed. Potential contradiction between displayed and exported state is relevant to authoritative status, but the reported snapshot mismatch is unverified. | .description, Support note F, Oct 10: export reportedly Pending when details showed Approved; export time/request IDs absent. .depends_on=OR-108 records waiting for the contract. C2 confirms CSV has a state field; C4 leaves freshness semantics open. Obtain matched request IDs, transition time, export generation time and the artifacts before deciding whether behavior violates a contract. | Engineering lead with support lead; choose a named owner. |
| OR-107 | Story / To review / Medium | Product manager | Repair proposal; pilot-fit and policy decision still open. A shift-review export is adjacent to C1 rather than the core requester handoff. | .description and .acceptance_criteria, Operations note G, Oct 8: date-range CSV and readable approver names requested; current filters and export name visibility unestablished. C2 confirms current ID/state/approver-ID columns but does not establish name-export permission or date-filter support. Agree whether this belongs in the pilot, who receives it, the date field/timezone/boundaries, and export authorization. Missing capability evidence does not mean the capability is absent. | Product manager with engineering lead; support lead clarifies operations use and authorized recipient context. |
| OR-108 | Spike / Blocked / High | Engineering lead | Groom now with OR-109. The recorded blocker is an unresolved contract/design relationship, not established technical deadlock. | .description, Engineering note H, Oct 7, and .depends_on=OR-109 say the contract waits for refresh design. OR-109 records the reverse edge. .acceptance_criteria merely says document a contract. C4 explicitly leaves freshness/API semantics undecided. Decide what evidence exists, which behavior must be chosen jointly, and what can be investigated without implementation. | Engineering lead and designer, with product manager deciding acceptable user behavior. |
| OR-109 | Story / Ready / High | Designer | Repair proposal; joint contract discussion now. Useful status-visibility intent, but “quickly” does not define acceptance and continuous refresh is not agreed scope. | .description, .acceptance_criteria, Design note I, Oct 9: in-view status change requested; interval/error behavior unagreed. .depends_on=OR-108; C4 makes reopen/refocus and continuous refresh viable discussion options. Resolve interaction mode, freshness target/trigger, failure indication, and source-of-truth semantics. Do not replace unknowns with an invented polling interval. | Designer and engineering lead; product manager accepts the proposed behavior. |
| OR-110 | Task / To review / Medium | Product manager | Groom now — measurement discovery, not instrumented delivery approval. Directly tests C1's requester/support outcome. | .description, Product note J, Oct 12: learn whether requesters resolve status questions without support; current events and joining support asks to requests unknown; .acceptance_criteria empty. C1 has no baseline/effect; C4 says event coverage and assignment/reporting unverified. Agree a bounded evidence inventory, feasible unit/population and support-question definition, then choose measurement. Do not assert no events exist. | Product manager and support lead with engineering lead for available evidence. |
| OR-111 | Story / To review / Low | Not supplied | Source-confirmed constraint. Returning Approved to Pending conflicts with the current pilot boundary; a separate policy decision is required. | .description and .acceptance_criteria, Operations note K, Oct 5: undo final approval, no policy change approved. C3 explicitly excludes returning Approved/Rejected to Pending and requires preserving final decisions. .depends_on=OR-104 does not make undo a remedy for unauthorized approval. Retain the request for a later policy decision; no deletion or priority change. | Product manager with engineering lead for a future policy review; owner still unassigned. |
| OR-112 | Bug / Blocked / High | Not supplied | Repair proposal plus evidence needed. Potential mobile failure of the approver-visibility outcome; the missing export endpoint is not proof of a real blocker. | .description, Support note L, Oct 11: assigned approver not visible on mobile; device/browser/steps absent. .acceptance_criteria empty; .depends_on=OR-999, which C6 says is outside the export and unknown. C2 allows requester view of own assigned approver. Obtain environment, actor/state and screenshots; retrieve the relevant OR-999 context before deciding its relationship. A useful local draft can proceed now. | Support lead for observation evidence; designer and engineering lead for proposed mobile acceptance. Named owner needs a decision. |
No item is declared implementation-ready by this assessment. In particular, a missing estimate is not a reason to avoid a useful grooming discussion; it is a limit on delivery commitment.
2. Duplicate candidates and dependency map
Duplicate and overlap review
| Pair/group | Hypothesis and confidence | Evidence supporting it and what may differ | Verification and proposed handling |
|---|---|---|---|
| OR-102 / OR-101 | Recorded possible duplicate; unresolved. High confidence that the export records the claim; insufficient evidence that the failures are identical. | OR-102 .possible_duplicate_of=OR-101 and its description says it might be the same issue. Both report Pending after approval. OR-101 concerns approval in another session and an already-visible requester display; OR-102 concerns return to a tab and uncertain reopening recovery. They may share a cause or require distinct lifecycle handling. | Compare request IDs, source state, transition/view timestamps, browser state, return steps and the missing artifacts. Keep both IDs. A shared investigation is appropriate; merge only after preserving each distinct trigger and authorized review. |
| OR-101 / OR-102 / OR-106 | Inferred shared contract/investigation theme; not a duplicate claim for OR-106. | All report stale state, but OR-106 is a CSV snapshot and may have a valid generation time or separate cache path. C4 leaves both details/export contracts open. | Review under OR-108; obtain paired timestamps and provenance. Preserve export-specific tests rather than collapse into a UI ticket. |
| OR-103 / OR-112 | Related intended outcome; overlap or defect relationship unconfirmed. | OR-103 requests requester visibility on Pending details. OR-112 reports missing visibility on mobile without actor/state/environment. It could be a platform-specific defect in existing behavior, a gap covered by the story, or a different scenario. | Match actor, state, assigned data, current screen behavior and proposed story scope. If coordinated, link by reviewed scope; do not discard the mobile observation or assume a duplicate. |
| OR-108 / OR-109 | Complementary decision work with a recorded cycle, not duplicates. | A contract spike and an experience change ask different questions but need joint decisions. | Retain both purposes; paired refinement should separate evidence gathering from accepted interface/contract decisions. |
| OR-104 / OR-111 | Different behavior, despite recorded dependency. | One reports authorization failure; the other requests a policy-excluded reversal of a final decision. | Prevent mistaken merge or “undo” substitution. Enforce existing authority rules while treating any reversal policy separately. |
A mistaken merge could erase a return-to-tab trigger, a CSV timing distinction, or mobile visibility coverage. No duplicate is confirmed, merged, closed or deleted.
Recorded dependencies
Direction
A → B means A is recorded as waiting for B. Every edge below comes from tickets.csv .depends_on; confidence is high about the recorded value and unestablished about an actual technical prerequisite.
| Recorded edge | Additional source | What would establish or revise the relationship |
|---|---|---|
| OR-102 → OR-108 | OR-102 return-to-tab report; C4 unresolved freshness semantics | Does this report violate an existing contract, or does final acceptance depend on the contract choice? Reproduction/evidence collection can proceed before that decision. |
| OR-106 → OR-108 | OR-106 missing export time/request IDs; C4 details/export contract unknown | Determine snapshot timing semantics and observed artifact provenance. The investigation itself need not wait for a final implementation contract. |
| OR-108 → OR-109 | OR-108 description explicitly says waiting for refresh design | Which contract decisions require an interaction choice, and which API/cache facts can be inspected independently? |
| OR-109 → OR-108 | OR-109 description explicitly says waiting for contract | Which user-facing proposal can be drafted now, and which timing/error criteria must wait for evidence or agreement? |
| OR-111 → OR-104 | No supplied explanation for the edge beyond exported value | Ask whether the link reflects a mitigation idea or genuine prerequisite. Neither possibility overrides C3's final-state constraint. |
| OR-112 → OR-999 | OR-112 description repeats the dependency; C6 says OR-999 is absent from this export | Obtain the relevant OR-999 record or owner explanation. It may exist elsewhere; its type, status, subject and blocking force are unknown. |
Recorded cycle: OR-108 → OR-109 → OR-108. This is a graph of exported links, not proof of architectural deadlock. Proposed resolution is one joint contract/experience decision: inspect existing behavior and API/cache evidence, choose a candidate experience option, and record which acceptance decisions still depend on which evidence. Removing or changing the links would require separately authorized tracker edits; none are proposed as already done.
Policy prerequisites from the supplied context: C2 constrains approval actions to the current assigned approver on Pending requests, and requires successful-transition audit integrity. C3 prevents pilot scope from adding SMS or reopening a final request. These source-confirmed constraints have stronger standing than inferred technical ordering.
Suggested coordination, not new dependency edges: investigate OR-101/102/106 under a shared status contract; align OR-103 and OR-112 on mobile visibility; prepare OR-110's evidence inventory alongside scope decisions. Do not add these as tracker dependencies merely because a meeting groups them.
3. Complete proposed replacement tickets
The following are local proposed replacements for title, description/body and acceptance criteria. Type, reported workflow status, priority and ownership remain as supplied. None is saved in a tracker or agreed implementation scope.
OR-104
Retained reported metadata: Bug; To review; High; Engineering lead. Source: Support note D, last updated October 13.
Proposed title: Investigate approval reportedly accepted from the former approver after reassignment
Proposed body:
Support reports that the original approver clicked Approve from an already-open request page after reassignment, and the request became Approved. This is a reported sequence, not a reproduced failure. The packet supplies no trace or precise step record. The request ID, prior state, assignment and action timestamps, environment, identity/permission evidence, and authoritative transition/audit records are unknown.
Expected behavior follows C2: only the currently assigned approver may approve a Pending request. A requester may view their own request and assigned approver. A successful transition must preserve the existing audit history and identify the acting user and resulting state. The available material does not prove current enforcement or identify a UI, cache or server-side cause.
The possible consequence is a final decision made by someone who no longer has approval authority. Frequency, affected population and any actual customer impact have not been established. C3 rules out returning final decisions to Pending or deleting audit records as a pilot remedy.
Scope proposed for review: reconstruct the report, compare it with the authoritative request/assignment state, and agree enforcement and stale-page handling tests. No particular architecture is prescribed. User-visible rejection/recovery wording and whether rejected attempts receive additional audit events remain decisions; do not confuse these proposals with the existing successful-transition audit rule.
Acceptance criteria proposed for agreement:
Source contract translated into a proposed test: With a controlled Pending request initially assigned to approver A, open the approval page as A, reassign it to B through an authorized test setup, then attempt approval from A's old page. Verify that A cannot cause an Approved transition once A is no longer current assignee. This is a proposed reproduction/test procedure, not the original precise steps or a completed test.
2.
Source contract: Only the current assigned approver can approve while the authoritative request state is Pending. Agree the execution-time authorization/state check with engineering; a page's earlier display is not evidence of current authority.
3.
Source contract translated into positive coverage: A permitted approval by the currently assigned approver on a Pending request leaves the existing audit history intact and identifies the acting user and resulting Approved state.
4.
Source contract translated into boundary coverage: An attempt to approve an already Approved or Rejected request must not reopen it or alter its final decision. Retain audit history (C2–C3).
5.
Proposed UX criterion, wording to agree: A user whose attempted action is no longer allowed receives a clear result and a path to view the request's current state/assigned approver within their access rights. Do not show a success confirmation for a rejected or unknown outcome. Exact message and recovery behavior remain unapproved.
6.
Evidence gate: Record the controlled environment, request/assignment/action evidence and observed result for each test. Until evidence is supplied or a test is run, report “not reproduced/not tested”; do not claim that the original support report is resolved.
Field-change ledger:
| Field | Original gap | Proposed replacement and basis | Still needed |
|---|---|---|---|
| Title | “Approval accepted after reassignment” states the report as an established failure | Adds “reportedly” and identifies former-approver scenario; OR-104.description | Original evidence and reproduction |
| Body | No trace, precise steps, impact bounds or contract citation | Preserves the known reported sequence; distinguishes missing facts, C2 policy, and C3 limits | Support evidence; engineering investigation; approved UX behavior |
| Acceptance criteria | Only assigned approver rule, no state/audit/test conditions | C2 Pending/authority/audit rule and C3 final-state protection, with labeled tests and a proposed rejection experience | Agreement on tests, message/recovery, and any logging beyond successful transitions |
OR-107
Retained reported metadata: Story; To review; Medium; Product manager. Source: Operations note G, last updated October 8.
Proposed title: Define an authorized date-range request export for shift review
Proposed body:
Operations requests a date-range CSV with readable approver names for a shift review. The current export includes request ID, state and approver ID (C2). Whether existing date filters or readable names are already supported is not established. The packet does not specify the export user/recipient's authorization or permitted name visibility.
Proposed user story: As an
authorized operations reviewer preparing a shift review, I want requests selected by an agreed date range and approved approver-identification fields so that I can review the relevant requests without reconstructing them manually. “Authorized operations reviewer” is a proposed actor requiring confirmation, not a verified role or access grant.
Before inclusion, Product must decide whether this is necessary for C1's requester status/approver pilot or belongs to a separate reporting decision. Do not assume that a Medium priority or the existing CSV makes it part of the pilot. Preserve existing access controls and final decisions (C2–C3).
Proposed scope for discussion: inspect the current export behavior; identify the intended user, purpose and allowed request population; choose the date field, timezone, and range-boundary convention; decide what name or identifier may be disclosed; and agree verifiable CSV behavior. No reminder channel or final-state change is included.
Unresolved: filter existence, date-field semantics, timezone and inclusivity, empty/invalid range behavior, authorized population, allowed approver representation, and export snapshot/freshness semantics. C2's permission for a requester to view their own assigned approver does not grant unrestricted readable-name exports to operations. OR-108's contract work may inform state semantics, but no new hard dependency is asserted.
Acceptance criteria proposed for agreement:
Evidence gate: Record the observed current export columns and date-filter behavior before proposing implementation changes. Preserve request ID, state and approver ID unless an explicit reviewed scope change says otherwise; their existence is supplied by C2.
2.
Policy/scope gate: Identify the authorized export actor, permitted request population and permitted approver representation before finalizing name output. Do not publish readable names under an invented policy. If readable names are not permitted, bring an allowed identifier alternative to the decision instead of silently exposing names.
3.
Unresolved contract made explicit: Agree [date field], [timezone], [start/end boundary convention] and [snapshot semantics]. With those decisions fixed, a controlled fixture including records before, on, within and after the boundaries must produce exactly the agreed included IDs. No date field or boundary value is assumed here.
4.
Source rule plus proposed test: Under the agreed authorization model, the export contains only requests and approver fields available to its authorized recipient. Test both permitted and disallowed populations. The packet has not supplied that export policy, so this criterion is not presently executable end to end.
5.
Proposed CSV behavior: Each included request appears with a traceable request ID and approved state/approver fields. Agree invalid-range and empty-result behavior so the reviewer can distinguish a valid empty result from an invalid request or failure. Specific error text/format remain proposals.
6.
Scope decision: Record whether the agreed slice is included in the pilot or deferred; no estimate or delivery date is inferred from this draft. A policy decision or unresolved date contract prevents implementation acceptance, but the story remains useful for grooming.
Field-change ledger:
| Field | Original gap | Proposed replacement and basis | Still needed |
|---|---|---|---|
| Title | Assumes desired date/name behavior can be implemented as requested | Frames authorized range export as a contract decision; OR-107.description and C2 | Product pilot-fit decision and export policy |
| Body | Request lacks actor authorization, exact date semantics and baseline knowledge | Keeps shift-review request, states known columns and unknown capabilities; proposed actor clearly labeled | Current behavior inspection; date and recipient/field decisions |
| Acceptance criteria | “Filter by date and include approver name” hides unresolved policy/semantics | Adds testable boundary structure after decisions, preserves known columns, forbids invented name authorization | Agreement on all placeholders and successful checks |
OR-109
Retained reported metadata: Story; Ready; High; Designer. Recorded dependency OR-108 retained. Source: Design note I, last updated October 9.
Proposed title: Agree and implement a clear status-freshness experience on request details
Proposed body:
The recorded request asks for status changes while a requester views request details without reloading. No refresh interval or error behavior is agreed, and “quickly” does not provide a testable contract (OR-109). C1's outcome is for an authorized requester to understand authoritative status without asking support. C4 says that continuous refresh and reopening/refocusing a page are viable options; none is accepted scope.
Proposed user story: As a requester viewing my own request, I want the page to present status according to an understandable, agreed freshness contract, and make unsuccessful refresh apparent, so I can distinguish the current recorded status from information that may be stale.
Review the existing behavior, available API/cache evidence and OR-101/102 reports with OR-108. The export records OR-109 waiting for OR-108 and OR-108 waiting for OR-109. This calls for paired refinement of interaction and contract; it does not prove an architectural cycle. Existing source state, cache behavior, refresh support and event coverage are unknown, not assumed absent.
Proposed scope: choose a candidate interaction mode and authoritative status source, decide trigger or refresh interval and latency target as appropriate, specify loading/failure/recovery behavior, and agree tests. Potential modes include refocus/reopen refresh and continuous refresh. Preserve C2's access, current-assignee/Pending approval rule and successful-transition audit requirements. C3 excludes automatic approval, reopening final decisions, audit deletion, mobile push, SMS and a new messaging integration.
Unresolved contract fields: [chosen refresh mode], [trigger or interval], [freshness/latency target and measurement start/end], [authoritative state/cache semantics], and [loading/failure/recovery treatment]. These need evidence and agreement before implementation scope is accepted. No polling frequency or success time is invented by this draft.
Acceptance criteria proposed for agreement:
Decision gate: Product, Design and Engineering agree a candidate interaction/contract with OR-108, documenting the named unresolved fields and why the option supports C1. This is a proposed set of decision participants, not recorded attendance or approval.
2.
Proposed behavior under the agreed contract: For an authorized requester viewing their own controlled request, change authoritative status through a permitted action in another session. Verify the displayed status against the selected trigger/timing rule and authoritative result. If the chosen option is refocus/reopen, test that transition; if continuous, test in-view updates. The selected test must not imply both options are committed.
3.
Proposed recovery behavior: When status retrieval fails, preserve useful context, distinguish the inability to confirm freshness from a confirmed new status, and provide the agreed retry/refresh path. Do not assert a new final state on an unknown result. Exact display and recovery behavior need approval.
4.
Source contract translated into regression coverage: Status presentation or refresh must not grant another user's request access, allow a former approver to approve, automatically approve, reopen a final decision, or delete audit history (C2–C3). Define the applicable controlled checks with Engineering; no such tests have been run here.
5.
Evidence and release gate: Record observed status, source status, relevant timestamps/trigger and failures for the agreed tests. Treat an unchosen target or unavailable authoritative evidence as unresolved, not a passed check. Do not call the ticket implementation-ready merely because its exported status says Ready.
Field-change ledger:
| Field | Original gap | Proposed replacement and basis | Still needed |
|---|---|---|---|
| Title | Commits to no-reload refresh before mode choice is agreed | Frames a clear freshness experience while retaining no-reload as the original request; OR-109 and C4 | Explicit selection of continuous versus refocus/reopen or other agreed mode |
| Body | User desire lacks contract, unknown-baseline treatment and cycle handling | Connects C1 outcome, C2–C3 controls, C4 unknowns and recorded OR-108 relationship | API/cache evidence, actual behavior and joint contract decision |
| Acceptance criteria | “Quickly” is unmeasurable | Adds conditional test structure and explicit unknown targets instead of manufactured numbers | Approved trigger/timing/error contract and test evidence |
This title/scope adjustment is a proposal for review, not a silent decision to remove or implement continuous refresh.
OR-112
Retained reported metadata: Bug; Blocked; High; owner not supplied. Recorded dependency OR-999 retained. Source: Support note L, last updated October 11.
Proposed title: Investigate assigned approver reportedly missing from the mobile request view
Proposed body:
Support reports that the assigned approver was not visible on a mobile request view. No device/browser or precise steps are supplied. The actor's role, whether it was their own request, request state/ID, viewport, actual assignment data, screenshot and occurrence pattern are also not supplied in this packet. The symptom is reported and has not been reproduced.
C2 permits a requester to view their own request and assigned approver; C1 makes understanding the responsible approver a pilot outcome. This is the expected behavior for the proposed requester test scope, not proof of the role or state in the original observation. OR-103 requests assigned-approver visibility on Pending details; its relationship to this mobile report is unresolved.
Proposed investigation: obtain the original context, inspect whether assignment data exists for the reported request, and compare visible behavior in an authorized requester's mobile view with the agreed supported presentation. Do not presume CSS clipping, missing data, permission failure, or OR-103 implementation as the cause.
The export records OR-112 → OR-999. OR-999 is not in this selected export (C6); it is not known to be nonexistent, completed, a mobile dependency or a real blocker. Obtain its relevant source or an owner explanation before deciding the dependency's force. A local ticket repair and evidence request can proceed without removing the link.
Proposed scope remains assigned-approver visibility and evidence collection, preserving existing access and final decisions. This does not add a mobile push channel, expand an operator's access, or authorize an external ticket edit.
Acceptance criteria proposed for agreement:
Evidence gate: Record the original or controlled reproduction context: request ID/state/assignment, authorized actor, device/browser/viewport, navigation steps and observed result. Distinguish the original reported sequence from newly proposed test steps. State explicitly if the report cannot be reproduced.
2.
Source contract translated into a proposed test: On an agreed supported mobile environment, an authorized requester viewing their own request with a known assigned approver can locate the assigned-approver information permitted by C2. Agree its presentation and supported environment with OR-103's review; do not invent the original device or assume a readable-name policy beyond the allowed view.
3.
Proposed experience coverage: Verify that the agreed approver information remains reachable without being hidden or obscured in the selected mobile viewport and orientation cases. These cases must be chosen and recorded; no unsupported platform matrix is promised.
4.
Source contract translated into boundary coverage: A visibility repair must preserve request access boundaries and must not change approval authority, request final state or audit history (C2–C3). Test applicable permitted and denied access cases.
5.
Relationship gate: Record the evidence establishing whether OR-999 is a prerequisite and whether OR-103 covers the same actor/state/mobile acceptance. Preserve separate report detail unless a later authorized decision changes the tickets. An unknown endpoint or overlap remains open; it is not marked resolved by this draft.
6.
Acceptance boundary: Final implementation acceptance requires an agreed presentation/support scope and observed test results. An original report that remains unconfirmed must remain so in the resolution evidence, even if a proposed enhancement is accepted.
Field-change ledger:
| Field | Original gap | Proposed replacement and basis | Still needed |
|---|---|---|---|
| Title | States missing behavior without evidence qualification | Preserves assigned-approver/mobile symptom as reported; OR-112.description | Reproduction and original context |
| Body | Device/browser/steps missing; unknown dependency unexplained | Names precise missing data, C1–C2 target behavior and C6's unknown endpoint | Support evidence, owner decision, OR-999 record and relation to OR-103 |
| Acceptance criteria | Empty | Adds proposed visibility, access and evidence/relationship checks with scope choices explicit | Supported environment/presentation and actual results |
4. Proposed 45-minute grooming agenda
These are proposed participant and decision-owner roles, not named assignments or confirmed attendance. Planning references are C5. No meeting has been scheduled.
| Minutes | Theme / items | Decision requested and source-linked rationale | Proposed decision owner / participants | Desired output |
|---|---|---|---|---|
| 0–3 (3) | Outcome and boundary | Confirm C1's requester outcome and C2–C3's access/final-state/channel constraints. Confirm this is candidate-scope grooming, not an October 29 promise (C5). | Product manager; all review roles | Shared scope statement and the decisions the session must settle |
| 3–12 (9) | Approval authority — OR-104; distinguish OR-111 | Decide immediate evidence collection and the controlled approval-after-reassignment test; agree whether any source-supported response is needed before scope planning. OR-104 reports a possible breach of C2, while OR-111's reversal conflicts with C3. Severity comes from that policy conflict, not a proven incident count. | Engineering lead; support lead and product manager | Evidence/test owner roles, retained unknowns, and confirmation that undo is not accepted as a pilot remedy |
| 12–24 (12) | Status contract and reported mismatch — OR-108/109 with OR-101/102/106 | Resolve what can be decided jointly about refresh mode and freshness, what traces/artifacts are needed, and which work can proceed independently. Sources: recorded OR-108↔OR-109 cycle, C4, missing context in OR-101/102/106. | Engineering lead and designer; product manager with support lead | Candidate contract decisions or explicit gaps; shared investigation plan; no unsupported duplicate merge |
| 24–32 (8) | Assigned approver slice — OR-103/112 | Define a coherent requester-visible slice and mobile acceptance direction; assign evidence collection and OR-999 clarification. Sources: C1–C2, OR-103 actor/state, OR-112 missing environment and endpoint. | Product manager and designer; engineering/support leads | Proposed scope/presentation, mobile evidence request and unresolved dependency note |
| 32–38 (6) | Measurement — OR-110 | Choose the first evidence inventory and a feasible way to define/request/support-question measurement before asserting an effect. C1 has no baseline; C4 and OR-110 leave events and joins unknown. | Product manager and support lead; engineering lead | Inventory questions, proposed unit/population and a decision owner; no invented baseline or target |
| 38–42 (4) | Adjacent requests — OR-105/107/111 | Confirm what stays outside candidate pilot scope and what separate policy/context decision is needed. C3 excludes SMS and reopening; OR-107 needs export purpose, date semantics and name policy. Email remains a later option, not silently deleted. | Product manager; relevant support/engineering input | Explicit deferred/separate decisions with retained IDs; no status, priority, merge or deletion changes |
| 42–45 (3) | Readback and handoff | Reconcile candidate scope, open evidence, role assignments still to confirm, and next review before the October 22 scope aim (C5). | Product manager; all review roles | Local decision log separating agreements actually reached from proposed actions |
Total: 3 + 9 + 12 + 8 + 6 + 4 + 3 = 45 minutes. Full repair text and the readiness/dependency tables are pre-read material; do not spend the meeting reconstructing them. If a decision cannot be reached within its slot, capture the deciding evidence and role rather than imply that the scope is resolved.
The order follows a reported conflict with authority rules, then cross-item contract decisions, then the coherent user slice and measurement. It does not rank delivery by guessed reach, effort or numerical priority scores. Reported priorities stay unchanged.
5. Open evidence, decisions, and independent work
| Open input or decision | Proposed responsible role | Next useful artifact / review point | What can proceed now |
|---|---|---|---|
| OR-104 source request, assignment/action timestamps, trace and environment; actual current-state enforcement | Support lead supplies report detail; engineering lead investigates | Evidence packet and controlled-test results for the authority discussion; unknown severity/frequency remain explicit | Prepare the proposed tests and preserve current C2–C3 policy; do not depend on an undo proposal |
| OR-101/102/106 paired request IDs/times, UI/return/export artifacts and source state | Support lead and designer, engineering lead coordinates | Shared evidence ledger feeding OR-108/109 | Gather source material independently of final freshness choice; retain each trigger/surface |
| OR-108/109 API/cache evidence, chosen interaction, trigger/interval, latency and error contract | Engineering lead, designer, product manager | Candidate contract or explicit remaining decisions by the next scope review | Inspect available behavior and draft competing interactions; do not invent endpoints/events or change links |
| OR-103 presentation and OR-112 mobile context; OR-999 contents; named OR-112 owner | Designer and support lead with engineering lead; product manager confirms owner role | Mobile evidence and scope/dependency decision | Refine authorized-requester acceptance and collect evidence without declaring the blocker resolved |
| OR-107 pilot relevance, export audience/authorization, date field/timezone/bounds, name visibility | Product manager and engineering lead with support input | Separate bounded export decision and confirmed current behavior | Retain the complete draft with policy/semantics placeholders; do not enable names by assumption |
| OR-110 current event/reporting coverage, support-ask classification/join and baseline feasibility | Product manager and support lead with engineering lead | Evidence inventory and proposed metric contract | Define the learning question and inspect what exists; no baseline or effect claim |
| OR-105 email/channel policy and OR-111 final-state policy change | Product manager with appropriate operational/technical review | Separate later decisions if owners pursue them | Retain requests and source constraints; no SMS or reopening added to pilot |
| Engineering estimates, named ownership/attendance, accepted scope | Product manager and engineering lead | Confirm at/after grooming and before candidate scope is treated as agreed | Maintain October 22/29 as planning aims only; no invented capacity allocation |
Local delivery check: all 12 IDs assessed once; all six exported dependency edges retained with direction; OR-999 identified as an unknown external endpoint; one recorded possible-duplicate edge retained; OR-108/109 cycle named; four requested complete repair drafts supplied; agenda totals 45 minutes. There are no invented estimates, metrics, participants' commitments, reproduction results or accepted implementation targets.
Nothing was changed in a tracker, linked, merged, deleted, sent, scheduled, or externally verified. The supplied workflow labels remain recorded source state; every repair and agenda entry is a local proposal.

About this skill
A grooming session should end with decisions the team can use. Backlog Readiness Workbench reviews a supplied ticket export against the intended user outcome, then produces a concrete preparation packet: an assessment for each item, possible duplicates and dependencies, exact replacement ticket text, and a focused session agenda.
It preserves ticket IDs and reported status/priority while separating source statements, reporter observations, inferred relationships and proposed changes. Missing evidence stays visible. Similar titles become duplicate candidates to investigate; an exported dependency link is not automatically treated as a proven technical prerequisite.
Included: a compact operating skill, three focused references, and an original fictional 12-ticket CSV with product context and a realistic buyer request. The practice packet contains raw work to review, not an answer key.
Use it when a backlog has vague acceptance criteria, unclear blockers, overlapping requests or a grooming meeting that needs exact decisions. It complements a PRD workflow by refining the ticket work already on the table, and gives metric tools the unresolved measurement questions to investigate.
The normal result is a local draft for review. External tracker edits, links, merges, comments or deletions require the user's explicit scope and available documented tools. It does not promise delivery dates, product impact or universal readiness scores. Agent execution and any optional connected service are separate from this package.
Demonstrated scope
An independent Codex run completed the supplied fictional 12-ticket packet. The full result includes the assessment, recorded relationship map, four complete proposed repairs and a 45-minute grooming agenda. This demonstrates one bounded supplied-context workflow; no production tracker, real-team efficiency or customer outcome was tested.
