We are building a B2B AI meeting assistant for agencies. Each agency is a tenant with multiple client workspaces. Users can upload meeting notes, generate summaries and action items, and invite clients to approve deliverables. We need a platform blueprint covering tenant isolation, roles, plan limits, metering, AI processing, retries, audit logs, and launch gates. Assume no specific cloud provider or compliance certification. Clearly label open decisions; do not claim implementation or compliance.

AI SaaS Platform Blueprint — Agency Meeting Assistant
1. Scope and assumptions
Product: B2B meeting assistant for agencies.
Tenant: agency.
Sub-scope: client workspace.
Users: agency members and invited client reviewers. Workload, cloud, storage, model provider, jurisdictions, and target plan limits are unspecified. This is a design proposal only; no implementation or compliance review has occurred.
2. Domain and tenant boundaries
Represent AgencyTenant as the authoritative customer boundary and ClientWorkspace as a child scope. Users join a tenant through explicit membership; workspace access derives from membership plus workspace role. Every meeting, note, summary, action item, approval, file, job, audit event, and AI context record carries a server-resolved tenant and workspace scope. Do not trust tenant IDs supplied by a browser.
Enforce scope in the API authorization layer and again in data access policies. Include tenant scope in object storage paths, vector metadata and filters, cache keys, queue payloads, search indexes, exports, and observability fields. Design cross-tenant tests with synthetic markers before launch.
3. Roles and permissions
| Role | Typical access | Guardrail |
|---|---|---|
| Tenant Owner | Manage agency settings, members, plan, and retention | Sensitive admin changes are audited |
| Agency Member | Upload authorized meeting material and generate outputs | Access limited to assigned workspaces |
| Client Reviewer | View and approve explicitly shared deliverables | No access to internal notes or other clients |
| Platform Operator | Operate service reliability | Customer content access requires a documented support procedure |
Separate authentication, membership, role, resource ownership, and plan entitlement. Enforce permissions server-side. Require explicit sharing before client access.
4. Plans, usage, and billing
Store plan definitions and limits as versioned data. Meter at the authoritative processing boundary, for example accepted audio minutes, generated outputs, and active workspaces, after confirming the commercial unit with the buyer. Record tenant, meter, quantity, time window, idempotency key, and plan version. Keep immutable usage events separate from invoices and provider cost records. The billing ledger—not model output or cache state—is the financial source of truth. Handle retries idempotently and define over-limit behavior before launch.
5. AI processing workflow
- Authorize the user and resolve tenant/workspace scope.
- Validate upload type, size, and user permission; store encrypted source data under scoped paths.
- Create a job with an idempotency key, tenant reference, status, and retention deadline.
- Send only the minimum necessary content to the selected model adapter under documented provider terms.
- Store outputs with source provenance and the same tenant boundary; require human review before client sharing.
- Emit metering and audit events; expire temporary artifacts according to an explicit retention policy.
6. Reliability and observability
Use a durable job queue, bounded retries with backoff, dead-letter handling, cancellation, and safe resume. Make output creation idempotent to avoid duplicate summaries or charges. Monitor job success, latency, queue age, provider errors, cost per tenant, authorization denials, and quality evaluation outcomes without logging raw meeting content by default. Define operator escalation, customer status, and recovery targets after workload expectations are known.
7. Launch gates and open decisions
Before production, confirm cloud and data regions, provider retention/training terms, recording consent and privacy requirements, actual workload and latency targets, deletion/export needs, plan thresholds, support access procedure, and incident ownership. Verify tenant isolation, role boundaries, metering correctness, retry safety, retention behavior, and quality on representative authorized test data. Obtain qualified security and privacy review. No compliance status or test result is asserted here.
Connects securely to your tools. The creator never sees your data.
About this skill
Design AI products as real commercial platforms
AI SaaS Architect turns an AI product concept into a practical multi-user platform blueprint. It considers the full service: tenants, users, roles, identity, authorization, plans, usage, billing, AI workflows, data boundaries, operations, and launch evidence.
What it designs
- Product boundaries, customer types, tenant hierarchy, and core workflows
- Tenant isolation across databases, files, vectors, caches, queues, logs, exports, and AI context
- Authentication, membership, roles, permissions, entitlements, and administration
- Data-driven plans, quotas, credits, metering, billing state, and cost attribution
- Model/provider adapters, prompts, retrieval, tool permissions, and human approvals
- Background jobs, idempotency, retries, recovery, observability, and incident paths
- Security, privacy, evaluation, quality gates, scaling choices, and launch readiness
How to use it
Describe the product, buyers and users, tenant model, workflows, AI capabilities, data, integrations, plans, workload assumptions, regions, team, existing stack, and success criteria. The agent will ask for material gaps, make assumptions explicit, and produce architecture decisions, tradeoffs, risks, implementation phases, and evidence needed before launch.
Architecture principles
Tenant isolation is enforced at authoritative boundaries. Identity is distinct from authorization; plan entitlements are enforced server-side; billing truth is deterministic; AI is not the financial ledger; side effects require authorization and verification; retryable writes need idempotency; provider-specific logic belongs behind adapters.
The design is tailored to stated requirements and should avoid unnecessary hierarchy or infrastructure. It never invents capacity, certifications, demand, security validation, compliance, or profitability, and it does not claim deployment, integration, load testing, or evaluation unless those were actually performed.
Boundaries
This is architecture decision support, not an implemented system or security certification. Validate designs against actual stack constraints, threat models, provider contracts, regulations, workload data, and qualified engineering/security review before production.
